One visit does more for a supplier relationship than 50 emails. Walking the floor, meeting the production team, having lunch with the sales manager — these build trust that email never can. If an in-person visit is not possible, a structured video factory tour serves a similar function.

The Second Year: Growing the Partnership

Give Forecast Visibility

Even rough forecasts help factories plan material purchasing and production capacity. Sharing a 6-month purchase forecast — even if not binding — positions you as a valued partner rather than a transactional buyer.

Introduce New Product Opportunities

Bring your supplier into the early stages of new product development. Ask: “We’re thinking of adding a kids’ TR90 line — what molds do you already have that we could adapt?” Collaborative development is faster, cheaper, and builds mutual investment in the product’s success.

Provide Market Intelligence

Chinese factories often have limited visibility into your market. Sharing what’s selling, what trends you’re seeing, and what your end customers are asking for is genuinely valuable to your factory — and it’s information that makes you more useful to them than a buyer who just sends POs.

Red Lines: What Damages Supplier Relationships

  • Consistently re-negotiating price after orders are placed — this burns trust fast
  • Threatening to switch suppliers for every problem — creates defensiveness rather than accountability
  • Sharing proprietary samples or designs with competitor factories — if discovered, it’s usually the end of the relationship
  • Ignoring your supplier’s CNY / Golden Week schedule — Chinese factories have predictable closed periods; planning around them shows respect

How Long Does It Take to Build a “Preferred Buyer” Status?

Most experienced factories start treating buyers as preferred after 2–3 consistent orders with no major disputes. By year 2, you should be getting phone calls about new designs before they’re listed publicly. By year 3–4, your name comes up in internal factory discussions about capacity planning.
